1. Who operates pKorix ERP

2. Scope and roles
This policy covers enquiries through our website, customer onboarding, account administration, subscriptions and the pKorix ERP service. When we use account and contact details for our own billing, service and security purposes, we generally decide how those details are handled. For personal information that a business customer enters into its ERP workspace, that customer ordinarily determines the purposes and lawful basis of processing; pKorix processes it to provide the agreed service, subject to the parties' legal responsibilities.
3. Information we handle
Depending on the services used, information may include company and contact details, account usernames, billing and payment references, requests for support, technical logs, and information entered by authorized users into accounting, sales, purchasing, inventory, HR, payroll or other modules. ERP records can contain personal information about a customer's employees, suppliers and customers.
4. How information is obtained and used
Information is provided by customers and their authorized users, generated when the service is used, or supplied by providers assisting with payments and service operations. We use it for account creation, authentication, delivering requested ERP features, invoicing and subscriptions, support, service security, troubleshooting and compliance with applicable law. We do not use one customer's business records to advertise to another customer.
5. Legal grounds and customer responsibilities
We process personal information only where a lawful basis applies, such as fulfilling service obligations, compliance with law, legitimate operational purposes where permitted, or consent where required. Businesses uploading third-party personal information must provide appropriate notices and permissions, respect data-subject rights and use the platform lawfully.
6. Sharing and service providers
We do not sell customer ERP data. Where necessary, relevant information may be shared with authorized cloud hosting, payment, communications, technical-support or security providers, or with authorities when required by law. Those providers may handle information only for the purposes relevant to their services, under applicable obligations.
7. Cloud hosting and international transfers
pKorix uses cloud infrastructure and service providers, and some storage or processing may occur outside Saudi Arabia. Transfers of personal information are subject to applicable Saudi Personal Data Protection Law requirements, including assessment and legally required safeguards. Hosting countries, subprocessors and transfer arrangements must be verified before the final policy goes live; this draft does not claim that all data is hosted in Saudi Arabia.
8. Security and access
We aim to apply appropriate technical and organizational protections, including account access controls and operational security measures. Customers are responsible for their users' roles, passwords and the accuracy of records they enter. No online service can promise absolute protection against every incident.
9. Retention, export and deletion
When a free-trial subscription ends without conversion to a paid plan, ERP access stops after the trial end date. For eligible expired trial accounts, the current application sets a 30-full-calendar-day retention period after access expires; trial business data then becomes eligible for a controlled cleanup process. Eligibility does not mean deletion is automatically completed on that day, and accounts with qualifying paid billing history are excluded from the trial-data cleanup process. For paid subscriptions, access normally continues through the paid period after a cancellation request; following cancellation or expiry, the application preserves paid-customer business records rather than automatically deleting them. Customers may request available data exports or support assistance; a complete company-wide export is not currently guaranteed. Personal-data access, correction, deletion and export requests are reviewed according to applicable law, the customer's role and available technical procedures. Some records may need to be retained for legal, accounting or dispute purposes. Deletion from cloud backups may follow separate operational retention procedures, and we do not promise immediate deletion from backups or a fixed paid-account deletion date until these processes are verified.
10. Your privacy rights
Individuals may have rights to obtain information about processing and, where applicable, access, correct, request a copy of, or request the destruction of their personal information. Some requests may need to be directed through the business customer that controls the relevant ERP records. Please contact info@pkorix.com; we will handle requests according to applicable law.
11. Cookies and technical information
Our website and applications may use cookies or similar technologies necessary for authentication, session continuity, performance, preference settings and service security. If optional analytics or marketing tools are introduced, their use and any required consent information should be described in an updated notice.

We may revise this policy as our service and legal obligations change. We will show an updated date and communicate material changes where required.
